Little-Known Microsoft Teams Features That Boost Productivity
Microsoft Teams is packed with powerful features—but some of the most helpful ones fly under the radar. In this issue, I’m spotlighting four small but mighty Teams features that can help you save time, stay organized, and work more efficiently. These aren’t major overhauls, but they’re just the kind of tweaks that make your daily workflows smoother.
Let’s dive in.
Schedule a Post to a Channel (Not Just Chats!)
You probably already use scheduled messages in chats—but did you know you can schedule posts in Teams channels too? This is a game-changer for team communication, especially when you want to draft an announcement or update in advance and have it published at the right time.
How to Schedule a Channel Post in Microsoft Teams:
-
Go to the channel where you want to post.
- Compose your post as usual.
-
Click the "+" button.
-
Select Schedule Message.
-
Choose your desired date and time.
-
Click post.
Customize MS Teams Notification Banner Placement
If you’ve ever had a Teams notification pop up and block part of your screen (especially while presenting), you’ll love this one. You can now choose where your notifications appear—top left, bottom right, and more.
How to change Teams notification position:
-
Click on the "..." button next to your profile picture.
-
Select Settings.
-
Click on Notifications and Activity.
- Under Position on the Screen, choose your preferred location from the list of options.
Resize the Microsoft Teams App Rail
Need a bit more room to read channel names or file names? You can now resize the side rails in Teams, giving you more control over your workspace.
How to Resize the Rails:
-
Hover your cursor over the edge of the left (Teams/Chat/Calendar) or right (Details/Files/Activity) rail.
-
When the resize icon appears, click and drag to adjust the width.
-
Release when you’re happy with the size.
This small tweak can make a big difference in visibility—especially when you’re juggling lots of teams or long filenames.
Improved Hyperlinks in Microsoft Teams Messages
Here’s a subtle but super helpful update: You can now quickly insert hyperlinks by double-clicking a word and pasting a link. Teams will automatically hyperlink the selected word—no need to open a separate formatting window or use keyboard shortcuts.
How to use improved hyperlinking:
-
In the message box, double-click a word you want to turn into a hyperlink.
-
With the word highlighted, paste your URL (Ctrl+V or right-click > Paste).
-
Teams will automatically convert the word into a clickable hyperlink.
Perfect for keeping messages clean and professional—no more long, messy URLs in your posts.
Final Thoughts
These little-known features might not make headlines, but they can definitely boost your productivity when working in Microsoft Teams. Whether it’s posting with precision, decluttering your screen, or just getting things done faster—every small improvement adds up.
Try them out and let me know which one you’re adding to your daily workflow!
