🚀 SharePoint List Forms Just Leveled Up—Here’s What’s New!
Hey there,
It's Lui, and I’m back with another edition of the 🧭Microsoft 365 Compass🧭 Newsletter! In this edition, I’m diving into an exciting enhancement to my new favorite SharePoint List feature—the SharePoint List new forms experience. I’ve talked about this feature in past emails (including this one), and I even published a full tutorial on how to use it. Since its release, it has completely changed how I recommend Microsoft-based solutions for data collection—so much so that I’m increasingly tempted to ditch Microsoft Forms altogether. So buckle up, and let’s get into it!
Quick Recap: What is the SharePoint List New Forms Experience?
The SharePoint List New Form Experience lets you build data collection forms directly on top of SharePoint Lists. It offers an interface similar to Microsoft Forms and allows you to share the forms with anyone in your organization without giving them direct access to the underlying list.
Previously, many users would create a Microsoft Form and then use Power Automate (like in this video) to move the data to a SharePoint List. But now, thanks to this feature, that extra step is no longer necessary. Since its release, Microsoft has been actively enhancing the feature. A few weeks ago, I covered the addition of Lookup and Attachment columns (if you missed that update, check it out here). And now, Microsoft has introduced branching logic—a game-changer!
What is Branching in the SharePoint List New Forms Experience?
Branching allows you to show or hide fields based on a user’s responses. If you’ve ever used branching in Microsoft Forms, this works exactly the same way.
In the past, if you were using a SharePoint List for data collection, you had to apply JSON-based conditional formatting (as I demonstrate in this video). But now, with the new List Form enhancements, you no longer need to mess with JSON—making it much simpler and more accessible.
How to Add Branching to a SharePoint List Form
To add branching to your form:
- Create a new SharePoint List form
- Click into the form and select the Branching icon.
- Navigate to the field where you want to apply branching.
- Set your branching values in the "Go To" option.
For example, let’s say I want to apply branching to the Country field:
- If a user selects USA, the form will display the State field.
- If a user selects Canada, the form will display the Province field.
To set this up, simply click into the 'Go To' option for each value and select the appropriate path. It's important to note that you’ll need to add your branching fields to the form first before setting up the branching. In the example below, I first add both 'Province' and 'State' fields and then set up the branching.
In the clip below, you’ll see how the form dynamically updates based on the user's selection—displaying either State or Province as needed.
Final Thoughts
That’s how you can now create dynamic SharePoint List forms that update in real time—without touching JSON!
I’d love to hear your thoughts:
- Do you like this feature?
- Are you using the SharePoint List New Form Experience in your workflow?
- Or are you still sticking with Microsoft Forms?
